AI Meeting Note-Taker Comparison: Otter vs Fireflies vs Fathom & more
Compare 10 AI meeting note-takers and transcription assistants side by side — per-seat price, free-tier limits, languages, summaries and CRM/Slack integrations. Set your team size and billing cycle and get the cheapest plan that fits, every figure cited.
How it works
This is a transparent lookup and a fully deterministic cost ranking, not a guess. Each of the 22 plans across 10products is stored as a typed record — per-seat price (both month-to-month and billed-annually), the free-tier allowance, the number of transcription languages, a tri-state value for summaries, action items and recording, and a yes/no flag for seven integrations: Zoom, Google Meet, Microsoft Teams, HubSpot, Salesforce, Slack and Notion. Every figure is cited to the vendor’s own pricing page.
The only computed value is projected cost, derived in four steps:
- Resolve the per-seat price. For the chosen billing cycle the tool reads the published per-seat figure — the annual plans are billed yearly but quoted per month, so both numbers are stored.
- Monthly cost =
seats × per-seat price, and annual cost = that monthly figure × 12. The math runs in exact integer cents, so seats × price never drifts on rounding, and an independent summation pass re-derives the annual total as a built-in cross-check. - Filter pass/failis a boolean AND over the integrations and languages you mark as required, checked against each plan’s capability flags — a lookup, no arithmetic. Requiring HubSpot or Salesforce drops the free and entry tiers because CRM sync is a business-tier feature.
- Rankingsorts the rows by your chosen key (projected cost ascending by default) and surfaces the cheapest plan that passes every filter. Free plans count as their true $0; tools bundled into a Zoom or Workspace plan are labelled “Included” rather than $0, and enterprise “Contact sales” tiers are left out of the ranked cost to avoid a misleading total.
Prices convert to rupees with LKR = round(USD × rate) using an editable Central Bank of Sri Lanka indicative rate, with an optional 18% VAT line for the tax you may pay on a foreign digital subscription. Where a vendor’s public price could not be confirmed at build time, the cell reads “Verify” and that plan is kept out of the ranking instead of carrying an invented number.
